Enhancing Zoom meeting security – helpful resources
As we continue to rely on Zoom for our meetings, it’s important to keep our sessions secure and comfortable for all participants. UW-IT has prepared and continues to update online information highlighting straightforward security options and practical advice to help you protect your Zoom meetings.
To learn more, please take a moment to visit the UW-IT Zoom Security webpage. You’ll find clear instructions on features such as waiting rooms, passcodes, participant screen-sharing controls and other useful suggestions to secure your meetings more effectively.
Note: A number of newer features have been added under the “host tools” button — such as the ability to pause a meeting while ejecting disruptive participants — and familiarizing yourself with these features now will allow you to address any meeting issues should they arise.
Additionally, we suggest the following tips:
- When holding classes and internal meetings: Ensure that the “only authenticated users can join” feature is enabled and that the “Current UW Faculty, Students and Staff” option is selected. This setting only allows those with a UW Zoom account to access the meeting, so other limitations on Zoom functionality may not be necessary if this is enabled. It also may be helpful to remind participants that they will need to be logged in to UW Zoom to access. Instructions to do this are located on the Sign in to UW Zoom – UW-IT webpage.
- When hosting open, public meetings or larger online events/workshops: Consider purchasing a Zoom Webinar add-on. Attendees are view-only participants, and panelists can share audio, video and screen.
- Additional guidance for instruction: Learn more on the Teaching Guide: Zoom app in Canvas – UW-IT webpage.
Taking these steps can help reduce disruptions, allowing everyone to focus more confidently and comfortably on the planned agenda and purpose of your classes, meetings and events.
Thanks for your cooperation. If you have further questions about Zoom settings and specific use cases, contact us at uwbit@uw.edu.
