Recruitment policy for employers

The University of Washington Bothell adheres to the National Association of Colleges and Employers (NACE) Principles for Professional Conduct. In addition, all employers must review and adhere to the U.S. Department of Labor Guidelines for Unpaid Internships.

Recruitment organizations recruiting students at the University of Washington Bothell and through all on-campus recruiting channels must adhere to these principles.

Eligibility for use of UW Bothell Career Services

Legal and ethical restrictions

In order to protect our students, Career Services reserves the right to refuse service to employers due to any of the following: dishonesty; breach of confidentiality; fraud; misrepresentation; abuse or other harassment of UW Bothell students, alumni or staff; or any other violation of University rules and regulations, local, state or federal laws. Additionally, employers not eligible to use UW Bothell Career Services include:

  • Employers who have been judged by a court of law in the United States to be engaged in illegal activities.
  • Employers who are involved in strikes and are hiring for positions which are included in the affected bargaining units.
  • Employers who request personal data (i.e. Social Security number, bank account information) at the time of application.
  • Employers who misrepresent their organization by providing dishonest information or omitting critical information.
  • Employers who violate the Non-Discrimination policies outlined below under ‘Expectations of Users’.

Professional intent

Employers recruiting students through UW Bothell-related channels are expected to present themselves in a professional capacity. Employers should not utilize recruiting channels to establish personal relationships with students. Recruiting channels include, but are not limited to, on-campus recruitment events, interviews, selection processes, career treks, and internship supervision.

Network marketing and similar organizations

These Organizations are not considered “employers” by Career Services and are not eligible to participate in on-campus interviewing, resume referrals, job listings, employer presentations, and/or sponsorships for on-campus activities. Career Services considers organizations that engage in either or both of the following to be Network Marketing Organizations:

  • Sponsoring or hiring an individual to set up their own business for the purpose of selling products or services and/or recruiting other individuals to set up their own business.
  • Requiring an initial cash or capital investment, account balance or similar fiscal requirements from this individual, with the organization itself serving as an umbrella or parent corporation. The initial investment may include but is not limited to such things as direct payment of a fixed fee, payment to attend an orientation or training session, and/or purchase of a starter kit.

Household/domestic needs

Due to limited candidate interest, we do not post domestic/household postings to Handshake.

Adult entertainment

Employers may not post any positions related to the adult entertainment industry.


Career Services has established these criteria for identifying appropriate entrepreneurial employment opportunities for promotion through its services. Start-ups must have progressed sufficiently in their business development process so that they can:

  • Provide a company name, business address, website and email address, and identify a principal as the key contact;
  • Verify that they are not seeking potential partners or investors;
  • Confirm that they have obtained the necessary business licenses and Tax ID’s as well as sufficient funding, including identifying their funding model and investors, if requested;
  • Offer positions for pay, not just for equity; pay must meet state minimum wage expectations.
  • Provide clearly defined organization and position descriptions in Handshake.


Employers using the department’s services will offer regular/base salaries for positions; a draw against future earnings does not constitute a salary. Employers offering commission-based positions may post job listings on Handshake provided they are full-time career opportunities. No commission-based part-time or internship positions will be posted, unless approved by Career Services on a case-by-case basis.

Fees charged to candidates

Employers that require students or alumni to purchase a franchise, purchase supplies, pay for training or orientation, invest or pay a ‘start-up’ or application/access fee as a condition of employment, will not be allowed access to any services nor provided sponsorship by the department. Because it is ultimately a student’s decision to participate, organizations are free to recruit UW Bothell students through means outside of Career Services.

Third-party employers

Employment agencies, temporary agencies, and search firms are eligible to utilize the limited selection of our services outlined below. By choosing to move forward with Career Services’ recruiting opportunities, you agree to these guidelines:

  • Third-party employers may post positions through Handshake, with the understanding that the name of the client must be disclosed if requested by Career Services.
  • Third-party recruiters may participate in Career Services career fairs; the name of the employers a third-party recruiter is recruiting on behalf of should be made available to any candidate or Career Services representative who inquires.
  • Third-party recruiters sourcing candidates for internal positions at their own organizations may make use of the Career Services On-Campus Interview Program.
  • Under no circumstances may fees be charged to candidates.
  • Career Services reserves the right to verify any client information provided by a third-party recruiter and reserves the right to enact further allowances or restrictions at their discretion.

On-campus sales, promotion, or solicitation

The UW Bothell is a non-commercial campus. Employers are not allowed to recruit for positions whose duties will involve the on-campus sale or promotion of products, goods or services to UW Bothell students, faculty, or staff (e.g. Campus Brand Ambassadors).

Selecting candidates

The UW Bothell adheres to the National Association of Colleges and Employers (NACE) Principles for Professional Conduct, which states that colleges and employers share the common goal to: maintain a recruitment process that is fair and equitable; support informed and responsible decision making by candidates. The principles for ethical professional practice outlined are based on notions of fairness, truthfulness, non-injury, confidentiality, and lawfulness.

Employers who act in accordance with these equal employment opportunity Principles, understand and expect students to receive open and equal access to information about all job opportunities. Therefore, the UW Bothell staff and faculty do not and will not screen, vet, choose or place students for roles when requested by employers.

The goal of student employment is most likely reached when all parties involved work cooperatively, ethically, and within the law.

Expectations of users

Job offer deadlines

Career Services follows the National Association of Colleges and Employers (NACE) guidelines on job offers, which states: it is imperative that candidates have a substantial response time to make an informed decision once an offer has been extended. The NACE guidelines for job offers recommend that students be given a minimum of two weeks to decide whether to accept a job offer. Additional considerations can be found on the NACE website.

Exploding offers

Exploding offers and special incentives such as diminishing bonuses or location preference should not be used to encourage early acceptance of a job offer.


Participating companies are expected to maintain the confidentiality of all student and alumni information. Sharing information about a candidate with another organization is not acceptable unless the company receives prior written consent from the candidate.

Use of alcohol

The use of alcohol by minors at any point during on- or off-campus recruiting is prohibited. Any organization violating this policy will no longer be eligible to participate in career events or programs.

Reporting of hiring information

When requested by Career Services staff, employers will inform us of all offers of employment that are extended to students in order to help maintain accurate statistics regarding student employment. Requested information may include but is not limited to the student’s name, their title, and division or unit within the organization, the geographic location of the position, the employment start date, and the compensation. Employment records are kept confidential and used only for statistical purposes. Employers should mark hired students as, “Hired” in Handshake, as well, please refer to these directions.


Employers are expected to engage in non-discrimination practices in their recruitment activities, and to follow equal employment opportunity and affirmative action principles as set forth by the University of Washington and the National Association of Colleges and Employers (NACE). Employers are expected to provide reasonable accommodations upon request. Career Services will not tolerate illegal discrimination in any form. Any acts of such discrimination by representatives will be reported to the hiring company or organization.

Testing and assessment

All tests and/or assessments used as part of the hiring process must be a valid measure of employability and must be compliant with Equal Employment Opportunity Commission (EEOC) standards, and testing procedures must comply with the Americans with Disabilities Act (ADA). Companies should provide testing information to students at least two full business days in advance. The information should include but is not limited to:

  • The type of test
  • The purpose of the test
  • To whom the test results will be disclosed

Information on testing practices should be shared with our department. We encourage all testing information to be added to the job descriptions as early as possible.

Scheduling of tests, interviews, and events

We expect every employer to take into consideration a student’s class schedule. Students should not be expected to miss classes for tests, interviews, or employer sponsored recruiting events. Please note that we require 72 hours’ notice to cancel a previously scheduled interview or on-campus event. If, for some reason, an employer is unable to attend a scheduled on-campus interview session, we expect that they will contact students directly in order to reschedule, as well as letting our department know of the cancellation.


All hiring and compensation for work performed by student employees is handled directly between the student and the employer. Career Services does not perform background checks on students applying for jobs nor on employers posting job opportunities. Employers and students are encouraged to request reference information from each other as needed to establish qualifications, credentials, and overall fit between the employer and the student applicant.

Career Services reserves the right to use discretionary judgment based on an organization’s circumstances when determining whether to further grant or limit access beyond this policy.
