2021 Community Partner Appreciation - Virtual Event Guide

Thanks for joining us on June 10th! We are so excited to celebrate all of our partners! Please use this guide to help you access the online event and troubleshoot any tech issues that may come up! Email uwbcblr@uw.edu for any questions about using Zoom or virtual etiquette before the event. 

Zoom

We are using Zoom as our virtual conferencing tool. All UW faculty, staff and students have subscriptions to this software. If you do not have a Zoom account or are not familiar with this product, they offer a free service that will allow you to still join our virtual program (through a web portal) on the day of the event. Please note, you will have to register your name as part of the login process. Sign up your free Zoom Account here.

For best viewing experience please use the Zoom App, install here in advance if you do not have it.

For additional help with using Zoom, visit their tutorials webpage to learn the basics of this software. 

Logging into Zoom

  • Attendees will receive the event link in their email they used for registration
  • Event link will open Zoom software, where you will be asked to enter an event password 
  • The event password will be provided the day before the event sent to your email (same email used for registration). Why require a password? This is a UW recommended security measure for large virtual programs. 
  • Once you click the link and correctly enter the event password, the virtual event will open and you will enter the Zoom waiting room 
  • Attendees will be admitted to the event by staff at the start of the program

Virtual Attendee Best Practices 

  • The virtual chat box function will be enabled at the start of the event. We encourage you to participate in the group chat, feel free to introduce yourself!
    • The chat button is located at the bottom of the menu bar. 
    • You can message the entire group by selecting "To Everyone" in the chat or you can message only the hosts of the program be selecting "To hosts"
  • All attendees will be muted in order to reduce noise disruptions during the program
  • Your video will automatically be disabled at the start. You can turn it on during the breakout session, otherwise we ask that you keep the video off. 

Zoom Breakout Rooms

  • Attendees will be asked to select their breakout rooms during the program. We designed the program this way in hopes of more attendee engagement. UW Bothell Student Ambassadors will lead the small group conversations. The "breakout room" button is located on your Zoom toolbar. If you are using the web version of Zoom please ask us for assistance, as you will not have access to that button.
